The Role:
We are seeking a highly organised and proactive Team Administrator to provide administrative support to our team. This role will involve managing daily operations, coordinating team schedules, and ensuring smooth workflow across various activities. The ideal candidate will have excellent organisational skills, attention to detail, and the ability to work collaboratively within a fast-paced environment.
This role is based in our Shoreditch office, and there is a requirement to be in the office 2-3 days per week (more as required for events and in-person meetings).
What will you be doing?
- Administrative Support: Manage administrative tasks including scheduling meetings, coordinating team calendars, and booking meeting rooms and catering
- Event Planning: Organise all social events throughout the year, including the annual summer party and Christmas lunch. Support with ad-hoc client events when needed
- Meeting Coordination: Arrange senior leadership team meetings on behalf of Virgo’s Managing Director
- Office Management: Handle office supplies, equipment, and other administrative resources to ensure smooth team operations
- Travel Arrangements: Coordinate travel and accommodation for team members as required for business trips
- Budget Assistance: Manage an assigned budget for all office expenditures and administer expenses for the team or department as needed
- General Support: Provide ad-hoc administrative support to the team and management to ensure daily operations run efficiently
Skills/requirements:
- Proven experience as a Team Administrator, Office Assistant, or similar role
- Strong organisational and multitasking skills with the ability to prioritise tasks effectively
- Excellent verbal and written communication skills
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or similar software
- Ability to work well independently and as part of a team
- Detail-oriented with a high level of accuracy and efficiency
- Discretion and confidentiality when handling sensitive information
